Stand Up Recruitment places NZ and Australian citizens into trade roles in Australia. Premium placement model: ~AUD $16K per placement, split across two milestone payments, with a 4-month guarantee from the candidate's start date.
Most people misunderstand what an Executive Assistant does. They assume an EA is someone who "helps," "supports," or "organises." But at Stand Up Recruitment, the EA role is built off a very different foundation.
Here, the EA is not a helper. The EA is the operating system behind the CEO.
A world-class EA:
It's your first day. You've received access to Slack but Teams is not working. Les has a client call in 2 hours and you need to send a meeting invite. What do you do?
Les asks you to "just quickly sort out the inbox." You log in and find 47 unread emails. How do you approach it?
The philosophy that drives every decision. Before you learn the tasks, you need to learn how you think in this role.
| Block | Time | What it is | Who can interrupt |
|---|---|---|---|
| Deep Work | 9:00am – 11:00am daily | Strategic thinking, content, high-value decisions | Nobody. P1 emergencies via WhatsApp only |
| Admin Buffer | 11:00am – 11:30am | EA sync, quick decisions, Slack catch-up | EA only |
| Sales Block | Varies by day | Outbound calls, client meetings | Scheduled only |
| End of Day Wind Down | 4:30pm – 5:00pm | Review, close loops, plan tomorrow | Nobody |
Les handles the first 10% (vision) and the last 10% (final review). You handle the middle 80% (execution). This is your zone of responsibility.
It's 9:45am and Les is in deep work. A recruiter sends you a Slack message: "Les said to ask you — can we push back the client call from 11:30 to 12:00?" What do you do?
Les asks you the same question about a client's email preferences for the third time this week. What is the correct response according to the North Star Principles?
The inbox is not where chaos lives — it is where you create clarity. Les only sees what requires his judgement. Everything else is processed by you.
| Folder | Purpose |
|---|---|
| Review | Emails requiring Les's input, decision, or review |
| Actioned | Emails fully handled by EA — audit trail |
| Waiting On | EA is waiting on a reply or follow-up before proceeding |
Tone must be: direct, clear, no fluff, professional but warm, calm and confident.
Study Les's writing style. Keep a tone document — log phrases he uses, his email openings, how he handles difficult messages. Never deviate from his voice.

Hey [recruiter name], [Client name] at [company] is now active. TOBs signed. Role: [role] Location: [location] Start date: [date if known] Key contact: [name + email] You're the primary POC from here. Les is stepping back. Any questions, come to me first. [EA name]
During your morning sweep, you find an email from a client asking: "Can you resend the job description template you mentioned?" Les isn't available. What do you do?
A senior client emails Les directly: "I'm not happy with how the last candidate search went. I want to discuss." Is this a pass-through or handle-yourself?
The calendar is not a schedule — it is the engine room that drives the entire organisation. EA is 100% in control of Les's calendar.
Begin the week by scanning the coming 7 days. Ask:
Then block: strategic time, deep work, recruiting blocks, client-facing sessions, internal communication, catch-up time, review time, and recovery time.
| Colour | Meeting Type |
|---|---|
| 🟡 Yellow | Client Meetings |
| 🟢 Green | Coaching Sessions |
| 🔵 Blue | Interviews |
| 🔴 Red | Travel |
| 🟠 Orange | Cold Calls |
| 🟣 Purple | Visionary / Strategic Time |
| 🩷 Pink | Internal Team Meetings |
Every meeting must have: agenda, attendees, purpose, anticipated questions Les might be asked, and a context note added to his calendar event.
Les has a call booked at 2:00pm with a Perth client (AWST). A new P1 client needs to meet urgently and the only slot in their calendar is 4:30pm NZT, which is 2:30pm AWST. What do you do?
A CEO must never chase updates. You eliminate that by creating certainty through communication — not volume, but clarity.
Duration: 15–20 min · Daily · Before team standup
EA leads this meeting. Les reacts. If it's not in Trello — capture it live, during the rundown.
Duration: 20–30 min · Daily · Run by EA · Les present (transitioning out)
Per department, 3–5 min each
The moment a conversation goes deeper than 30 seconds between two people, cut it:
Do this confidently, not apologetically. You are running the meeting.
During the standup, two recruiters start debating the best approach for a candidate. The conversation has been going for 90 seconds. What do you do?
Every client call gets logged accurately in Airtable. The right status is set after every interaction. Nothing falls through the cracks.

When Les sends "Key Client — [name]" on Slack:
Phase 1 — Sitting in Client Meetings: Watch how Les operates — his tone, pace, language, and how he handles objections. Never speak unless Les directs it to you. Log context into the calendar event after.
Phase 2 — After TOBs Are Sent: The assigned recruiter is the primary POC. Les steps back. EA monitors inbox for client replies.
Phase 3 — Routing Client Emails After TOBs:
Hey [name], We've placed [X] tradies into [industry/region] businesses in the last 90 days — a few of them were in a similar spot to where you were when we last spoke. Worth a 15-minute catch-up to see if the timing's better now? Les
Hey [name], You mentioned [timeframe] when we last spoke — that's about now. Still looking for [role type]? We've got strong candidates ready to move. Les
Hi [Client name], Thanks for this — really helpful context. I want to introduce you to [Recruiter name], who will be your main point of contact from here. [He/She] will be leading the search and will be in touch shortly. [Recruiter name] — please see the client's note below. Over to you. Speak soon, Les
Les sends on Slack: "Key Client — Morrison Construction." It's 7:30am and you're just starting your morning routine. Walk through exactly what you do.

The operating framework that ensures nothing falls through the cracks. Capture → Clarify → Organise → Reflect → Engage.
Phase 1 — Clean the Board (15 min): Process every Trello list. Inbox: clarify all. Doing: move blocked items to Waiting. Waiting: ensure every card has a follow-up date. Done: archive everything.
Phase 2 — The 6 Review Questions (15 min):
Phase 3 — Anticipation Loop (15 min): Scan the next 2–4 weeks. Spot problems before they happen. Add Trello cards for anything that needs action before it lands.
Phase 4 — Weekly Summary to Les (10 min): Send before end of day Friday. Use the template in the Templates tab.
Use structured message codes for all Slack messages to Les:
| Code | Type | Format |

| T | Task | T [Subject] / Context (1 line) / Outcome / Deadline (if real) |
| I | Idea | I [Subject] / Outcome desired |
| Q | Question | Q [Subject] / Reply YES/NO / Deadline |
| P | Problem | P [Subject] / Impact / Recommendation / Deadline |

Unlike Trello (resets as work moves) or the Friday Review (resets weekly), these three logs are permanent and never clear themselves. Log the moment something happens — don't wait to be asked.

It's Friday 4:00pm. You've noticed that Les has been manually chasing the same two recruiters for their weekly pipeline updates every single week for the last 3 weeks. It takes him 15 minutes each time. What is the correct response according to the GTD/Quadrant 5 principles?
